00:00I had to show you what my invoice template in Excel looks like, because I've been adding features and I haven't shown anywhere what I've been adding.
00:07So I'm going to show you in this video, as I've done in other videos where I show my templates, I'm warning everyone.

00:21It's a template for Excel, so you need to have Excel installed on your PC.
00:25It's a template for use on a PC, and you don't need to be an expert in Excel to use it, because I already make the entire template for that, and you'll see that it's very easy to use.
00:35But you do need to have some basic knowledge, because it's a template, it doesn't include any advice, nor am I going to solve your problems or anything like that.
00:44You download the template and do whatever you want with it, and I emphasize that it's a template that's made to be used on a computer, on a PC, on your laptop.
00:52You can open it on your mobile phone or tablet, but I'm explaining it to you for use on a PC.
00:58It's for Excel, not Google Seats or LibreOffice or anything like that, so if you don't have Excel, forget about it.
01:04And after these clarifications, let's take a look at it.
01:07In documents, I created an accounting folder where I've put the two files that you download.
01:12One is an invoice template, which is completely blank, and the other is an invoice template with sample data, which is the same template but with some sample data so that you can play around with it, test it or whatever you need.
01:25So I'm going to show you with the invoice template with sample data so that you can quickly see how it works.
01:30We open it by double-clicking.
01:33As you can see, the extension is from an Excel file with macros.
01:40At the top, a security warning appears and says that the macros have been disabled.
01:45This is done by default when you open a file that has been downloaded, a file that is new.
01:49What you need to do is enable the content because otherwise these buttons with macros won't work.
01:54We enable the content and this is the invoice template.
01:57The first time you open it, what you need to do is customize it.
02:01You can customize absolutely everything because the template is not restricted in any way.
02:06In other words, you can upload anything.
02:09Here you should enter your company name, your tax ID, the address, your email.
02:14Here we see the customer details, but first I'm going to show you everything it has.
02:18You have an invoice tab.
02:21Here you have your invoice, the template.
02:23Then you have an issued invoices tab, which is where all the invoices we create will be saved.
02:33A clients tab, where you should enter your clients.
02:36This is the order, client name, tax ID, address, city and province.
02:40You should enter them here.
02:43You can simply keep adding rows because once they have been entered,
02:46we will load them with a drop-down menu in the invoice template.
02:49Here you should enter your products.
02:53We are going to enter the product, the reference and the price.
02:58These products will also be displayed in a drop-down list in the body of the invoice.
03:04Finally, we have the payment methods that you can customize.
03:08Of course, this data is editable and you can add as many rows as you need.
03:11Let's see how it works.
03:15The first one that appears is invoice number 1, but if your invoice were number 15,
03:19you can type in a 15 and that's it.
03:26Here you enter the invoice date.
03:27Imagine it's June 10th.
03:29You type it and it automatically gives you 30 days until the due date.
03:32But you can edit it by placing the mouse over the cell and here if it's 15 days,
03:36you delete the 30, type in a 15 and that's it.
03:43As for customers, you go to this cell, expand and choose any of the customers,
03:47for example, Innovative Solutions and their data is automatically loaded.
03:53If we didn't have any customers, nothing would be displayed.
03:56I'll leave it as it was.
03:59And here we have the products.
04:01I already have two entered, but we could change them.
04:04For example, a mirror, do you see the prices change?
04:08Here, the sofa.
04:10If I want to add a new product, a rug.
04:15I enter the units, one unit, and you see that the price is already loaded and the amount is calculated.
04:22Let's move on to the summary section.
04:26Here we have the payment method that comes from the payment methods tab.
04:29And here you just have to enter any of the ones you have.
04:35You can add more without any problem.
04:37And it automatically calculates the subtotal.
04:40The discount that I have entered is 15%, but if it were 0, there is no discount, so you enter a 0 and that's it.
04:46The tax base is calculated and the VAT in this case is 21%, but if it were 10, here you enter 10 and the corresponding amount is calculated.
04:59Once you have created the invoice, what would we do?
05:02Well, the first thing we have to do is save it in PDF.
05:04How do we do it?
05:06By clicking on this button, save in PDF, it tells us, the invoice has been saved as a PDF in Almadena, Documents, Accounting, Issued Invoices, Invoice, because as it is the first invoice, the macro itself has created a folder called Issued Invoices and has saved the invoice.
05:22I click on Accept and here I have the Issued Invoices folder and Invoice 15.
05:29It is now configured so that it can be seen perfectly on an A4 sheet of paper and the invoice can be seen as we created it.
05:38We return to our invoice template and the next thing I am going to do is save it in the database.
05:43Click on the button and it tells us, the invoice has been registered in the Issued Invoices table.
05:48I accept.
05:49I'm going to the Issued Invoices tab and here is the invoice.
05:53Well, we have the number, the Issued Date, the Due Date, the VAT and here the amounts are calculated and here we have a drop-down menu.
06:00You can use it or not, but I find it useful, for example, if it is pending, you can put it like this.
06:07When you have been paid, it turns green and if it is due and you have not been paid, it turns yellow.
06:14So I'm going to leave it, for example, as if it were off.
06:17We return to the invoice template and when you want to create a new invoice, you see that here we have invoice number 15.
06:25We click again.
06:27New invoice.
06:28Now it is the 16th.
06:30We put the date, for example, June 15th, it calculates the 15 days, which is what we had left.
06:36Well, in this one it is 30 days, imagine.
06:39Well, 30 in customer data.
06:45Select.
06:46It selects what you are going to invoice.
06:48You choose your payment method, the discount you want.
06:56Apply.
06:58Normally, all the products or services you sell will have the same VAT, so you can change it once and that's it.
07:04And now we have a new invoice.
07:06So, what do we do?
07:07Well, we save it in PDF, it tells us that it has been saved in its folder, we save it in the database, we accept it and here we have it in issued invoices.
07:21And if we go to the issued invoices folder, here is the next invoice.
07:25How long does it take you to create an invoice?
07:28Well, my intention is to make it as short as possible.
07:30That's why I created this template.
07:32So, first of all, what you have to do is change the logo, the colors, your data, enter your customers, your products, your payment methods, and then all you have to do is create invoices, which, as you can see, is very fast, as it should be.
07:47Create an invoice, enter the data, a couple of clicks, and that's it.
